• Push notification token — to send you service updates and important announcements (only with your permission)
• Device type and operating system — to ensure the app works correctly on your device

• Assign the most suitable agent for your district and service type

Your name, phone number, district, and service type are shared with the assigned FormSeva agent who will assist with your request. Our agents are bound by confidentiality and may only use your information to fulfill your service request.

4.2 Service providers

We use the following third-party services to operate our platform:

• MongoDB Atlas — secure database storage of your request information
• Render — backend server hosting
• Expo (by Meta) — push notification delivery for the mobile app
• Firebase (by Google) — push notification infrastructure for Android

These providers process data only to provide their services to us and are prohibited from using your data for any other purpose.

4.3 Legal requirements

We may disclose your information if required by law, court order, or government authority in India.

5. Data Retention

We retain your personal information for as long as necessary to fulfill your service request and maintain records for a reasonable period thereafter. Specifically:

• Service request data is retained for 2 years from the date of submission
• Push notification tokens are retained until you uninstall the app or withdraw notification permission
• You may request deletion of your data at any time by contacting us

We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction. These measures include:

• HTTPS encryption for all data transmission
• Password hashing using bcrypt with 12 salt rounds
• JWT-based authentication for staff access
• Role-based access control — agents can only see requests assigned to them
• MongoDB Atlas with built-in encryption at rest

While we take reasonable precautions, no method of transmission over the internet is 100% secure. We cannot guarantee absolute security of your information.

Our mobile app may send you push notifications with your permission. We use push notifications to:

• Inform you about the status of your service request
• Announce new services available on FormSeva Kashmir
• Share important deadlines for government forms
• Send promotional offers and announcements

You can disable push notifications at any time through your Android device settings under Settings → Apps → FormSeva Kashmir → Notifications. Disabling notifications will not affect your ability to use the app or submit requests.
